Booking, Refund and Cancellation Policy
BOOKING FEES
To secure an appointment for non-surgical treatment with us, we kindly request a holding deposit equivalent to 50% of the treatment fee* when you are booking with us. This deposit serves as a guarantee of attendance and can be fully refunded or redeemed for treatment or products of your choice.
Please note that the holding deposit or consultation fee is non-refundable in the event of a missed appointment or cancellation that occurs outside our 48-hour cancellation policy. We appreciate your understanding in this matter.
CANCELLATIONS AND REFUNDS
We require at least 48 hours’ notice to be given for any appointment cancellation or changes. If you cancel or change within 48 hours of your appointment or do not attend a booked appointment, we reserve the right to take a £50 deposit for your future booking.
It should be noted that our treatments, services, and packages are non-refundable and non-transferable to other parties. In the event of prepaid treatments, failure to attend a scheduled appointment will result in the forfeiture of the full treatment cost.
Refunds will be provided where required in accordance with the UK Consumer Law. It may either be exchanged or refunded if our service or products are faulty. Treatments/service charges may be refunded or changed without a charge only if you are medically not fit for the treatment/service.
Kindly note that we do not offer refunds for change of mind. However, we may exercise our discretion in instances where we are unable to provide you with the treatments you have purchased, such as in cases where your skin type is deemed unsuitable for the treatment. Any requests for a refund must be submitted directly to the clinic for review. The clinic will review your request and may authorize a refund, which will be processed within 30 days.
It should be noted that our procedures and products may not be universally appropriate for all individuals. We take great care and exercise skill in our treatments, however, it is ultimately incumbent upon you to determine if the given product or treatment is the right fit for your unique needs and circumstances.
To ensure the provision of exceptional service, it is essential that you furnish all the information requested in the consent forms or apprise us of any pertinent factors that could potentially impact your treatments.
It is imperative that you maintain practical and achievable expectations regarding the outcome of your treatment. We strongly advise you to talk with your practitioners to understand and establish realistic goals for the treatment.
At EC Aesthetic Clinic, we strive to maintain punctuality and ensure that your scheduled appointment is conducted seamlessly. Nevertheless, unforeseen circumstances may arise that are beyond our control, necessitating the cancellation or rescheduling of your appointment on short notice. In the unlikely event of such a situation, we will exert every effort to notify you in advance. Please note that we do not provide compensation in the event of appointment cancellation.
Prepaid Treatment Packages
We offer pre-payment treatment packages that enable you to enjoy savings on treatments. It is essential to note that pre-paid treatments are non-refundable and cannot be transferred to other individuals, treatment areas, or clinics affiliated with EC Aesthetic Group. The packages of treatments that purchase in our London branch can only be redeemed in our London clinic.
Pre-paid packages are subject to an expiry date of either 12 months (if the package contains fewer than 8 treatments) or 18 months (if the package contains 8 or more treatments).
Please note that a minimum of 48 hours’ notice is required to cancel any pre-paid appointment. In the event of a cancellation within this timeframe or a failure to attend the appointment, the treatment will be forfeited.
These terms are binding upon the purchase of pre-paid treatments.
LATE FOR YOUR APPOINTMENT
Please be advised that if you arrive more than 15 minutes late for your appointment, your treatment time will be reduced by 15 minutes. Should your delay exceed 20 minutes, your appointment will be automatically cancelled. Please note that we will excuse any late fees for the first three instances of tardiness, but for any subsequent occurrences, a deposit of £50 will be required at the time of booking.
For those who are currently in a package or course of treatments, we regret to inform you that one treatment will be deducted from your package/course following your third instance of lateness.
We kindly request that you provide a 24-hour notice in the event of needing to cancel your appointment. If you should cancel on more than three occasions without sufficient notice, a deposit of £50 will be required for your next appointment to secure the booking.
We would like to remind you that all deposits are refundable upon timely arrival for your appointment or may be applied towards any products or services offered.
